Does Your Case Management Program Do It All?

In my experience with various programs, starting when the PC first became available, no database, no matter how much I customized it, did everything I wanted or needed to handle all my cases. As I added more and more fields and forms/records to display the information, the database became unwieldy. And, after all that work on complex cases, the database stored the results in a particular client's record, so making parts of the information available for other similar cases required tedious, time consuming cutting and pasting.

After years of searching for a database equivalent of a theory of everything (TOE), I came to the realization that just as in physics, there was none that stood the test of time. I then focused on adjunct programs that worked to expand my case management database, rather than to endlessly redesign my case management program in attempts to include everything.

I found a handy, inexpensive, easy to use database program that bridges the gap between outliners and relational databases and can be used for multiple purposes in any area of practice. myBase Desktop Edition is an inexpensive easy to use database available from Wjjsoft: http://www.wjjsoft.com/mybase.html. "myBase is a versatile free-form database system that allows entry of unstructured text, webpages, images, documents, emails and even arbitrary files without regard to length or format.... Unlike traditional database programs, myBase accepts text input like a word processor, and provides better methods for capturing, editing, organizing, retrieving, searching and sharing information."

Unlike most outlining programs, myBase lets you use several windows, with the outline on the left and the text or webpage windows on the right, and another window to view attachments and links. The user manual is in the form of a database, and a handy sample database reveals the many possibilities, including web capturing, inserting an Excel spreadsheet, and rich text editor which accepts images:

Suggested Uses:

Create a To Do list. You can select Outlook tasks, appointments, and emails to import into the list, then organize it to fit your priorities. You can readily dictate into an item, copy and paste, download web snippets, etc., so your list is on steroids.
Create an issues checklist for each practice area (e.g., "Probate Checklist," "MVA Checklist") and go through it at the start of each case and during the case, to make sure nothing is overlooked. Have all commonly used statutes and regulations noted next to the items, with links to important cases or sample forms. No more searching through old files to find previous work, no more reinventing the wheel.
Create a case analyzer and, for each client, save it to the client's name and use it to track issues, tasks, prepare for depositions, trials, etc. Keep a link to this file in your client's case management database record, or store the links in a file on your desktop. Because you can copy and paste the outline items, any important research or other data can be moved easily to another myBase database. Conversely, data can be moved from a general outline to the specific client database.
Create an expert witness database, with full contact information, photographs, CVs, important articles, snippets of testimony from deposition transcripts, etc.
Create a list of your law library subscriptions, with contact information, renewal dates, links to the publishers' websites, and links to the files on your computer, if you use CDs instead of books.
Create a list of professional organizations you belong to, including committees, with contact information, web links, and any text that's important to have at hand.
Create a list of important research links.
Create a practice development database in which you note all of your great ideas for expanding and marketing your practice. This would be a great place to store those emails from marketing consultants, web designers, etc. Plan a tax-deductible party for business promotion and later add entries for caterers, that photo of Ida Garten's cheese tray that you never knew where to put, etc.
Keep paragraphs from letters and briefs that you will want to reuse in the future. You can quickly send an email to your research assistant to re-research, and then use the results to keep your database up to date.

The bottom line is that uses for myBase are limited only by your imagination. If you decide to try it for free, I suggest you use the sample database to explore the many ways you can use the program and the various kinds of data you can store in myBase.

Apple's new iPhone 4S includes lawyer-friendly applications such as speech recognition, location-aware reminders, a friends locator, and the iCloud service, Evan Koblentz reports. But the smartphone still lacks 4G network connections and a removable battery. The new device is available in the United States Oct. 14 for AT&T, Verizon, and for the first time, Sprint.

The drafters of the 2006 Federal Rules of Civil Procedure amendments recognized that there would be fewer battles if lawyers understood the forms of ESI in their cases and agreed upon the forms in which they changed hands. Their goal was to insure litigants resolved forms disputes well before production, but Craig Ball sees flaws in this setup.
